Understanding and mastering your occupancy rate is crucial for a restaurant's success, especially during the bustling summer season.
Occupancy rates provide essential data to help optimize staffing, inventory, and overall service quality. Managing this KPI effectively ensures smooth operations, maximizes revenue, and enhances customer satisfaction.
How to calculate your Occupancy Rate
General settings
To calculate your Occupancy rate, you need to be connected to a POS (or to a booking system).
Update seat's quantity :
When to add a new time period ?
Fo example, if you close a rooftop, or if you add some extra tables for a certain event (Sports events, concerts etc).
Number of services ?
It will automatically multiply the number of seats available with the number of services.
How to calculate your Occupancy Rate
For now, we don't have an Occupancy widget for restaurants. Our team is working on it, write to us at support@blent.io to be on the beta tester list and to be one of the first ones to try.
We are using the calculation line widget.
So you need three lines in your report to calculate your Occupancy.
1. Number of seats available (from Blent settings)
2. Number of covers (from POS)
Your calculation should look like that :
The limit here is the number of covers. If your staff don't accurately record the number of covers, it will distort all your results.
UPDATE : For an occasional error, you can now modify the number of covers on one transaction.
Additionally, you only have access to historical information.
To avoid this issue, some customers prefer to use data from a booking system. In this case, replace the widget Count the number of covers per Count the Number of Guests in the Restaurant. By doing so, you can get real-time data on occupancy and plan in advance using this data.

Occupancy Rate Budget
To understand your occupancy rate, we strongly suggest creating a daily budget.

Set Your Occupancy Goals:
- If you plan to have all seats occupied, you can set the occupancy rate at 100.
- For example, if on Friday night you plan to have a second service and expect to turn over at least half of the tables, you can set the occupancy rate at 150.

Monitor Your Progress:
- The green and red indicators will help you see at a glance whether you are reaching your objectives.
