Group creation allows you to filter your data by groups of information, instead of calling each entity one by one. In this article, you will discover why groups help reduce errors and save time, and—what’s more—how to create them.
What is a group
Once your system(s) are integrated into Blent, we retrieve data called entities. An entity can be a market code, a restaurant item, a room type, an accounting code, and so on.
A group is an artificially created unit made up of several entities, brought together under a name you choose.
For example:
If your POS contains items such as Coca-Cola, sandwiches, French fries, and iced tea, you can create a group called “Food” and include sandwiches and French fries in it.
Create a range of varied groups that facilitate thorough analysis and understanding of your enterprise. A singular POS category can feature in multiple different groups. As examples, consider generating subgroups such as Tapas, Starters, Natural Wines, Gluten-Free, Mocktails, Shots, and additional options.
Why creating groups
It allows you to easily select and analyze the specific data you need for your reports and dashboards. While it is still possible to manually select individual entities, creating groups significantly:
- Streamlines the process—especially when working with specific product categories.
- Saves your time
- Reduces the risk of human error
Example:
Imagine that you want to know how much of your room revenue comes from Booking.com. To do this, you will:
Create a row with a revenue widget.
Add a filter to the row that restricts revenue to Booking.com only.
To apply the filter, you can either:
Filter by entities and include each Booking.com rate plan individually, or
Create a group that includes all Booking.com rate plans, allowing you to filter with a single element.
Moreover, if you add a new Booking.com rate plan in the future, you can simply add it to the group, and all your reports and dashboards will be updated automatically. Otherwise, you would need to go through each report and manually add the new rate plan.
Be careful, groups are not creating a structure of elements: you can call elements in different groups at the same time. Hence when you select all the groups together, it may call base elements several times. Grouping does not affect the initial entities or reports. You can add one entity into several different groups - they are not interconnected.
How to create groups
The procedure described in the guide below can be applied to other entities as well. Using the same approach, you can create groups for your:
Modifying groups
Modifying a group title or its contents is possible; however, removing a group entirely will result in its disappearance from all reports and dashboards. Therefore, it is recommended to reach out to your Customer Success manager at Blent before any deletion occurs.
Pre-created groups
In the settings, you will find pre-created Blent groups. You can recognize them by their names: “Blent – …”.
These groups are automatically used across all of your Blent collections. Completing them will allow you to use the Blent collections to their full potential. However, if you already know that some of them are not relevant to you, you can delete them.
