Summary
The Pickup reports - monthly and daily - give you deeper visibility into what the changes have been in the past days in your incoming business, and for what month/day. You will be able to track changes in terms of revenue, number of room nights, ADR, and the number of guests and assess the updated portfolio of reservations (On The Books).
How to create a Pickup report
Do not forget the Blent Collection! We have already created a couple of pickup reports. Using them instead of starting from scratch will save you time.
Pickup report is a type of report; therefore, creating a pickup report is the same process as creating a report. You simply need to select pickup report when selecting the type of report you want to create.
Important: The very first line in the report must be a "Total" (widget type "Pickup"). You can add filters, but should not use the toggle "Add additional lines".
How to read a Pickup report
By default, the Pickup reports display today's data. You can see the time status of your data right here above the actual column.
Be careful: When reading pickup reports, make sure that the dates are refreshed in real-time. To ensure it, here are the rules:
- In a Pickup daily report, the data gets refreshed automatically whenever you open it.
- In a Pickup monthly report: if it is a one-property account, and the report contains no foldable sections (meaning just one "Total" line), then the data gets refreshed whenever you open it. Otherwise, it is too heavy to be refreshed automatically and needs to be scheduled to be refreshed.
- Overall, take the habit of refreshing all your reports to prevent any mistakes.
From accommodation to total revenue: By default, your pickup will display your accommodation revenue. The Rev column represents your future accommodation revenue from the booked room rate.
To change it, check the "Show total revenue" in the report settings. By showing total revenue, the past revenue is based on Transaction codes (all considered as Revenue in the types of PMS transaction codes), and the future revenue is based on Room Rate + Services.
The difference between Rate and ADR
You may notice there is a difference between the columns ADR and Rate and may wonder why. Please have a look at this article which explains you in detail to what both correspond.
How to automatically add sub-elements to your Pickup report
In your pickup report, you can choose to see your pickup data by several sub-elements. It can be by property for groups, or by market code, source of business, or other entities for an individual property.
Important: The Total value for each month or day does not necessarily equal the sum of the sub-elements. The total line represents the total pickup of your hotel for that month or day, while the elements are limited to the ones you selected.
Specific case: "Add additional lines" toggle
When adding sub-lines with the "Add additional lines" toggle, it creates automatically the lines per the selected element.
It means that if the sub-elements are not standing for 100% of the total population, the sum of the subtotals won't equal the total.
This is specifically the case when:
- creating groups of elements that cover some elements several times: the sum will be above the total
- when some of the stays have the element used to add lines empty (could be market code or source of business for instance)

How to add or remove a benchmark from external sources
In the pickup report, you also have additional columns with benchmark data from market intelligence sources if you have any of them integrated (such as OTA Insight / Lighthouse and STR / Co-Star).
You can add or remove one or both columns in the general report settings, as illustrated below:

Exclude room types
For this particular type of report, to ensure the correct functioning of the system, you can use the exclude filter and remove:
- Pseudo rooms
- Posting Master
- House Use, etc.
Be careful, in this case the revenue displayed may not correspond to the total revenue (either for accommodation revenue only or total revenue as well).
My Pickup report is showing zero everywhere, but when I open the sub-elements, there are numbers.
Make sure your "Total" line is the first line in the report.
I don't see my budget
Budgets always have to be filled out for them to appear.
Check that your budgets cells have numbers. Normally, at least one budget is necessary to be displayed.
